Complaints Policy

PRINCIPLES

At Concordia, we believe in open and respectful communication with families. Most concerns can be resolved quickly and informally through discussion with a teacher or member of staff. However, we recognise that at times a more formal process may be needed.

This policy sets out a clear, simple and fair process for handling complaints. All complaints are taken seriously, dealt with promptly, and handled with respect and confidentiality.

PROCESS

Stage 1 – Informal Resolution

Parents should first raise their concern with their child’s teacher.
If the issue cannot be resolved, it may be passed to the Head of School.
Most matters are resolved quickly at this stage. A response will normally be given within 10 working days.

Stage 2 – Formal Resolution

If the matter is not resolved informally, parents should put their complaint in writing to the Head of School.
The Head of School will review the complaint, may meet with parents, and will normally provide a written response within 10 working days.
A record of the complaint and outcome will be kept in the school’s Complaints Register.

Stage 3 – Panel Hearing

If parents remain dissatisfied, they may request a Complaints Panel.
The panel will consist of at least three people, including one independent member not involved in the running of the school.
The panel will consider all evidence, hear from both sides, and issue a decision with recommendations normally within 14 working days.
The decision of the panel is final.

COMPLAINTS ABOUT THE HEAD OF SCHOOL

If the complaint concerns the Head of School, parents should write directly to the President. The same three-stage process will apply.

CONFIDENTIALITY AND RECORDS

All complaints are recorded, along with outcomes and actions taken.
Records are kept confidential, except where requested by official bodies (e.g. governmental authorities).
The school provides a summary of the number of formal complaints each year on request.

TIMELINESS

Complaints should be raised while the child is still enrolled at Concordia, so that concerns can be addressed constructively and in the best interest of the child.

Health and Safety

PURPOSE

Concordia School Paris is committed to providing and maintaining an environment that ensures the health, safety, and welfare of all staff, pupils, parents, and authorised visitors. Health and Safety is at the heart of our daily practice, with the aim of preventing accidents, injuries, and illness across the school community.

SCOPE

This policy applies to:
• All staff (teaching and non-teaching)
• All pupils
• Parents and authorised visitors
• Contractors and third parties operating on the school premises

PRINCIPLES

To maintain the highest standards of safety, Concordia will:

• Comply with all relevant French legislation and safety standards (ERP4 classification).
• Ensure the school premises and equipment are safe and maintained to prevent risks.
• Conduct regular risk assessments for classrooms, laboratories, playgrounds, and school trips.
• Provide training, information, and supervision so staff can carry out duties safely.
• Establish clear procedures for fire, evacuation, and lockdown drills.
• Ensure qualified First Aiders are present on site at all times.
• Record and report all accidents, incidents, and near-misses systematically.

ROLES AND RESPONSIBILITIES

• President & Head of School: Overall accountability for health and safety.
• Senior Leadership Team (SLT): Implementation of policy, monitoring, staff training.
• All Staff: Duty to follow procedures, report hazards, and model safe behaviour.
• Pupils: Expected to respect health and safety rules and follow staff instructions.
• Parents & Visitors: Must respect and comply with school safety procedures.

FIRST AID

• First Aid will only be administered by qualified staff, except in emergencies.
• All First Aid treatment is recorded in the Incident Report Log.
• Parents are notified at the earliest opportunity following any incident.
• Emergency services are contacted immediately when necessary.

FIRE AND EMERGENCY PROCEDURES

• Fire exits and evacuation routes are clearly marked and kept unobstructed.
• Fire drills are conducted at least once per term.
• Emergency and evacuation procedures are displayed in every classroom and common area.

RISK ASSESSMENTS

• All school trips, outings, and extracurricular activities must have a written risk assessment.
• High-risk activities (science experiments, sports events) require enhanced supervision ratios.
• Risk assessments are reviewed and updated regularly.

MONITORING AND REVIEW

• Health and safety procedures are reviewed annually by the SLT and Board.
• All incidents and near-misses are analysed to inform improvements.
• Staff, pupil, and parent feedback is welcomed to strengthen our health and safety culture.

Mobile Policy

MOBILE PHONES AND SMARTWATCHES 2025–2026
Sept 2025

PURPOSE

Over the past decade, smartphones have silently reshaped the landscape of adolescence. What once seemed like a tool for convenience and connection has gradually become a source of anxiety, distraction, and disconnection — not only from learning but also from one another.

At Concordia, we believe it is our duty to act early and decisively. That is why, starting in September 2025, we will enforce a ban on smartphones across the school. This decision is not made in isolation. Around the world, educators, researchers, and policymakers are responding to growing concerns about screen dependency and digital harm.

While we recognise that each family may have its own approach to managing children’s exposure to digital devices, this decision reflects our collective commitment to students’ well-being.

KEY STATISTICS ON DIGITAL USE AND CYBERBULLYING

• 67% of children aged 8 to 10 have social media accounts, even though these platforms are officially restricted to those aged 13+. The number of children on social networks has more than doubled in just two years.
• 20% of families report having already faced a case of cyberbullying, and one in four young people say they have witnessed it. Among them, 6% admit to having been perpetrators, sometimes without realising it (source: e-Enfance).
• 60% of young adults (aged 18–25) say they have already been victims of cyberbullying, with significant impacts on mental health (insomnia, addictions, suicidal thoughts).
• 82% of minors have been exposed to online pornography, posing a major psychological risk (source: e-Enfance).
• 61% of children have already been confronted with violent content online, compared with 39% just a few years ago (IFOP / e-Enfance).

CONSEQUENCES

The consequences are alarming for both well-being and learning. Children who overuse digital devices or suffer cyberbullying frequently show anxiety, depression, sleep problems, and addictive behaviours.

As educators, we also observe loss of concentration, declining academic results, weakened resilience, and isolation from peers. Exposure to violent or sexual content at an early age risks desensitisation and distorted social development.

SCOPE

This policy applies to all children at school. We count on every parent to act together as it will be the success of this policy.

POLICY STATEMENT

Smartphones and Smartwatches are not permitted on campus.

Students may bring a basic phone (calls & SMS only) for safety, which must be stored at the school entrance during the day. They should be marked with their name on it.

RECOMMENDED DEVICES

To support families, we recommend providing children with phones that are not connected to the internet — such as Nokia 3310, 105, or 225. These devices allow calls and SMS only.

For tracking purposes, we recommend dedicated devices such as Weenect or Apple AirTag.

FAMILY COMMITMENT CHARTER

1. Delay smartphone access until the end of Collège;
2. Ban WhatsApp groups among Concordia students;
3. Strongly discourage social media use during the Collège years.

WHY THIS POLICY MATTERS

By prohibiting personal smartphones and limiting harmful digital platforms, Concordia:

• Reduces opportunities for digital bullying;
• Protects social, emotional, and digital well-being;
• Creates a better atmosphere at school;
• Prioritises educational, purposeful technological use.

CONSEQUENCES FOR NON-COMPLIANCE (DEVICES)

If a student is found with a smartphone or smartwatch, the device will be confiscated and returned only to a parent or guardian in person.

The student will also serve a one-hour detention on Wednesday from 2:00 to 3:00 p.m.

Three written warnings will result in exclusion from school.

CONSEQUENCES FOR WHATSAPP GROUPS AND ONLINE MISUSE

Parents will be informed immediately if students are involved in WhatsApp groups including Concordia pupils.

Where harmful behaviour is identified, stronger measures may include suspension or exclusion, alongside support for the victim.

Three written warnings will result in exclusion from school.

SUPPORT FOR FAMILIES

Concordia will support families through guidance on digital habits, information sessions, and wellbeing resources.

ANNUAL POLICY REVIEW

This policy will be reviewed annually with students, staff, and families.

Uniform Policy

PURPOSE

At Concordia, the school uniform is a symbol of belonging, equality, and pride in our community. It celebrates our shared identity, encourages students to take pride in their appearance, and creates the best conditions for learning. By wearing the uniform with care, students contribute to a positive school culture built on respect, unity, and excellence.

SCOPE

This policy applies to all pupils in Maternelle, Primary, and Collège. We count on all families to act together, as the success of the uniform policy relies on consistency and collective commitment.
